For users of Quickbooks, I just experienced a problem that everyone should be aware of. I had received a message that I was approaching my limit for records (14,000). Didn't pay much attention, because I figured that I could condense my data and move on when I reached my limit. Wrong! Turns out that my data base was corrupt, and I found myself shut-down on a Friday night. Orders were continuing to arrive and I had no means to even print a sales receipt! The only thing I could do was restore an old backup (with less Mb) in order to print sales receipts. Quickbooks answer to my problem was to enroll in their enterprise solutions at a cost of $3,000.00. Although I was in Quickbooks hell for several days, I eventually was able to start a new store (upgrade from 2003 Pro to 2006 Pro) and import all of my data except my financial numbers and inventory. Turns-out, there is a problem with their excel import from 2003 to 2006. It would not map the files correctly! Bottom-line, I must start all over from scratch entering my inventory. We are talking hours and hours of work. The alternative is to just apy the $3,000, but even then I'll have to reenter all of the previous data from when my store was down. My suggestion to quickbooks users is to pay particular attention when you are approaching their limit of about 14,000 records (10 Md).

The other alternative is to use a real order management system to run your day-to-day operations, and just export daily summaries of sales, sales, tax, shipping charges, cost of goods, etc. to QuickBooks. For $1,250, you can get the Stone Edge Order Manager, which does all of that, and much more. Give us a call at 215-641-1837 or go to www.StoneEdge.com/OrderManager.htm for more info. (BTW - The last time I checked, the Enterprise version of QuickBooks let you go to about 28,000 invoices, customers or products, then hit the same brick wall.)

I thought that QB 2006 did not have the transaction limit like prior versions?

The limits are still there in QB 2006. See:

Thanks Barney! So, when it states "Number of customer, product, and vendor records that can be stored - 14,500", does that include number of invoices, sales receipts, purchase orders, paychecks, etc.? Or is that solely number of customers, products (aka: items) and vendors? And there are unlimited number of invoices, sales receipts, etc.?

Thanks again!

When it states the maximum number of records, it means 14,500, which includes everything (total). Trust me, if you are close to that (you can check by hitting "CTRL 1" to pull up the data base info screen), be prepared for quickbooks hell!
